Schema for Archives Holdings

(Revised 03/01/99)
The following categories include the persons, groups, or institutions which are the main creators of records and materials for the O'Donnell Archives of Christian Brothers University

MAJOR CATEGORIES

A person in an administrative office would have a separate file of records for the office and another personal file for herself/himself. Records may have duplicates in several files, but each would be a part of the history of that office/institution/group/person. Reference on Content Sheet would indicate cross references, when and where possible. Finding Aids would provide descriptions of series/file units or documents in Record Groups/Collection.

Individual persons are to be encouraged to keep personal records that will help in understanding and appreciating their personal role in the history of institutions/groups/offices was well as their personal contribution to the ministry of the university. Older employees are to be encouraged to create oral or written autobiographies.

Personnel data on each employee is on file in the appropriate office of the university and will be moved to the university archives at an appropriate time upon the departure of the individual from the university.

The Provenance Principle will determine the arrangement of records when possible and appropriate. When records apply to more than one Collection, cross references will be made on appropriate sheets and noted in Finding Aids or file cards.
