- What is interlibrary loan?
The Interlibrary Loan service assists CBU faculty,
staff, and students in acquiring research material unavailable
from the CBU library or its online databases, and in most
cases, other Memphis-area libraries. The library acts
as an agent in obtaining these materials on loan or as
photocopies for your use. We are able to borrow from
libraries in other states; commercial document-delivery
services; and, if necessary, other countries.
- Who can use interlibrary loan?
ILL services are made available to current faculty
and staff; currently enrolled graduate and undergraduate
students at CBU; and to the Christian Brothers. You may
have to present your CBU Buc ID card or another appropriate
form of identification to pick up interlibrary loan materials.
- What items cannot be borrowed
through interlibrary loan?
- Materials that are owned by the CBU library but
temporarily checked out. (The library can recall these
for you).
- Textbooks
- Material for class, reserve, or group use
- Bulky or fragile items
- Reference books
- Entire issues or bound volumes of periodicals
- Rare materials such as manuscripts
- In most cases, audiovisual material (videos, music,
CD-ROMS, etc.)
- Most libraries will not lend new books. We can attempt
to request them for you, but there is no guarantee of
obtaining anything that has been very recently published.
- Is there a limit on the number
of ILL requests I can make?
No. However, we ask that you limit your requests to materials
that you really need. A librarian can also help you find
comparable materials at any time.
- Can I request material that is
not research-related?
CBU can obtain a limited number of materials for personal
use, if these items are not available at libraries in
the Memphis-metro area. For anything beyond the occasional
request, we'd prefer that you use the ILL service at your
local public library.
- How much does this cost?
CBU belongs to a nationwide consortium of libraries that
have reciprocally agreed not to charge one another. Most
of what CBU obtains through interlibrary loan is free
material.
However, you must agree to pay whatever the lending library
does charge, if this should happen. Typical charges are
$10-$20, although exact amounts are not determined in
advance. CBU will make every effort to notify you in
advance of any costs associated with an ILL request.
Our budget does not permit us to cover all interlibrary
loan costs for patrons, but we will try to give everyone
at least one "free" request per semester.
Additionally, books must be returned to the lending library
by their set due date. If you return a book late, the
lending library may impose a fine for which you would
be responsible.
The library will subsidize some requests for individual
faculty members, up to a reasonable amount per semester.
This is at the discretion of the ILL librarian, and may
possibly include students who are doing advanced research,
senior projects, etc., under faculty supervision. Faculty
should contact Interlibrary Loan as regards specific cases.

a Librarian if you need help.
- Where are the request forms? How
do I turn them in?
The preferred method is to fill out the web form at
the top of this page. There are separate forms for requesting
books and articles. Please make every effort to fill
these out as completely and accurately as possible. A
fax or email request, photocopied citation, or printout
from a database is also okay.
- How do I check on the status of
my interlibrary loan request?
Please feel free to call (321-3431) or email (interlibrary@cbu.edu)
to check on the status of your request. If you leave
a voicemail message, your call will be returned as soon
as possible. You are responsible for ensuring that you
have received all materials. If you haven't received
your article within approximately two weeks, you may want
to contact Interlibrary Loan and let us know. Books
are generally sent media mail or library rate, and may
take up to 14 days to arrive.
- How long will it take for my ILL
request to arrive?
During the regular school year, it takes an average
of about 7 days to receive an article, and approximately
10-14 days for a book. Plan ahead and request items as
far in advance as possible, preferably up to 2-3 weeks.
- Where do I pick up/return ILL materials?
Ask a reference librarian, or come to the Interlibrary
Loan office at the back of the staff workroom. You do
not have to check anything out at the circulation desk.
- How will I know when my ILL materials
have arrived?
You will receive notification at the email address
you listed on the interlibrary loan form. We need you
to provide a complete and accurate email address, or a
preferred method of contact.
Faculty members will be sent photocopies of journal articles
through campus mail. Books must be picked up in the library
office. Students can pick up all of their materials from
the interlibrary loan office. You need to sign for your
items when you pick them up.
Multiple items are likely to arrive at different times.
To allow you the maximum amount of time for use of these
items, we will notify you as they arrive.
- Can I cancel an ILL request I've
already made?
You can do so only if the Interlibrary Loan office
has not already processed your request. Requests are
usually processed within one working day or less. Call

You must pick up materials you have ordered within five
working days of notification, circumstances permitting.
Failure to do this may result in future suspension of
interlibrary loan privileges. If the context of your research
has changed and you really don't need these materials,
please let us know so we can return them quickly.
- How long will I be able to keep borrowed
materials?
Photocopies of journal articles are yours to keep
permanently. For books, due dates are set by the lending
library, but usually range from two to four weeks. Books
are subject to recall by the lending library at any time.
- Are there any restrictions
on the use of ILL materials?
ILL due dates and any other restrictions that appear
on the bookband (in-library use only, no photocopying,
no renewal, etc.) are set by the lending library and must
be adhered to.
- I'm in a hurry. Are there any alternatives
to interlibrary loan?
From the CBU
library home page, you can check the catalogs of other
libraries in the Memphis area. If you have your CBU ID
card, you have borrowing privileges at the University
of Memphis, Rhodes,
and a number of other schools in the area.
Dissertations and theses which are unavailable through
interlibrary loan can be purchased from UMI.
Again, we can order an item for you if you like.
- What if I lose/damage an interlibrary
loan book?
In the event of loss or irreparable damage, you are
liable for the entire cost of the item as determined by
the library that owns it, plus a $20 processing fee. This
charge will be added to your library account and will
affect your status at enrollment clearance.
If the material is damaged, we will return it to the borrowing
library and you are responsible for any repair or replacement
charges they decide to impose.
- Are there any copyright laws
I should know about?
All requests must be in compliance with Title 17,
U.S. Code. CBU will pay copyright clearance fees for
faculty only, if this is needed. Federal copyright law
prevents the library from obtaining more than one article
from a single issue of a periodical and from obtaining
more than five articles from any one journal during a
calendar year (this applies only to articles published
within the last five years), without paying appropriate
royalties through the Copyright Clearance Center.
