Bylaws of the Christian Brothers University Chapter of the Student Affiliates of the American Chemical Society

As last amended May 1, 2003

 

Article I. Name

The name if this organization shall be the Christian Brothers University Chapter of the Student Affiliates of the American Chemical Society.

Article II. Objects

The objects of this chapter shall be to afford an opportunity for the students of a chemical science to become better acquainted, to secure the intellectual stimulation that arises from professional association, to obtain experience in preparing and presenting technical material before chemical audiences, to foster a professional spirit among the members, to instill a professional pride in the chemical sciences, and to foster an awareness of the responsibilities and challenges of the modern chemist.

Article III. Membership

The membership of this organization shall be composed of Student Affiliates of the American Chemical Society and Associate Members of the American Chemical Society. Membership in the chapter is open to those who have an interest in the chemical sciences. Each member will be asked to pay $5 each semester for dues. Students who have not paid chapter dues by the set date must give up any office held for that year and will not have the power to vote for that semester. If a member misses more than three meetings in a semester they must relinquish any office held for that year and will not have the power to vote for that semester.

Article IV. Officers

The officers of this chapter shall be a president, a vice president, a secretary, and a treasurer who shall constitute the Executive Committee. The officers shall be elected at the first meeting of the fall semester from nominees chosen from the floor during the last meeting in the spring semester. They shall take office after the first meeting in the fall and shall hold office for one year or until their successors are duly elected.

Article V. Duties of the Officers

President

The chapter president must realize that the organization of their chapter ultimately rests on their shoulders. This position provides the president with the opportunity to develop strong leadership and administrative skills. The chapter president’s earliest decisions and strategies will be the most important ones. At the beginning of a term, the president should ask these questions: What is the president’s role? How can the talents of the officers and members be used more effectively? What kind of assistance and guidance will be required from the faculty advisor? (A close liaison between the officers and the faculty advisor is essential.)

The chapter president acts as the primary coordinator for all the chapter activities. A Student Affiliates Chapter President is expected to:

  1. Prepare and distribute to executive council and faculty advisor the agenda for each meeting.
  2. Learn and enforce parliamentary procedures.
  3. Preside at all meetings and chapter functions.
  4. Conduct regular meetings with the officers and advisors.
  5. Coordinate the membership recruitment campaign.
  6. Plan the chapter’s calendar for the year.
  7. Establish committees and appoint chairs to carry out assignments (in coordination with the vice president)
  8. Monitor the progress of activities.
  9. Encourage cooperation and participation of chapter members.

(10) Be available to listen to problems, suggestions, and complaints of the chapter members.

(11) File the chapter’s annual report.

(12) Represent the chapter at special university or community events.

Vice President

The vice president acts for the president when the president is unavailable for chapter activities. The vice president should help oversee committees and generally share the workload of the President. The Vice president often serves as the Program chairperson.

The vice president is expected to:

  1. Plan for speakers or presentations during a chapter meeting.
  2. Organize all parties or social functions for the chapter.
  3. Assist the president in appointing chairs and establishing committees.

Secretary

The secretary is expected to:

  1. Record the minutes of every meeting and provide a copy to all of the Executive committee.
  2. Compile the membership roster each semester. Maintain an email distribution list of the membership.
  3. Compile a calendar of activities for each month.
  4. Handle chapter correspondence.
  5. Submit an organized set of chapter records to the faculty advisor at the end of the year.

Treasurer

The treasurer is expected to:

  1. Collect dues from all members each semester.
  2. Keep an accurate record of all expenses made by the chapter.
  3. Fill out all budget requests for the SGA.

Article VI. Faculty Advisor

The chapter, at its annual election, shall elect as its faculty advisor a faculty member who is a member of the American Chemical Society, whose duties shall be to advise the Chapter both in its local activities and in its relations with the Society. The Advisor shall be kept informed of all chapter activities and shall advise the chapter on any policy matters.

Article VII. Professional Advisor

The chapter, at its annual election, may select as its Professional advisor a non-faculty member of the American Chemical Society. This person shall assist the Chapter in its relations with the Local section of the Society and with the industrial community.

Article VIII. Meetings

Regular meeting shall be held twice a month unless an extra meeting is necessary. Special events may be arranged through the executive committee. There shall be at least four activities per semester. The executive committee will meet with the faculty advisor before every meeting. All meetings are mandatory for every member of the chapter. The consequences for irregular attendance are discussed in Article III.

Article IX. Dues

The annual national dues of the Student Affiliates shall be sent individually to the Society. Local dues of $5.00 shall be collected by the Treasurer at the beginning of each semester. Membership in the chapter is limited to those who have paid the local dues. Dues are due no later than the first meeting in September.

Article X. Annual Reports

An annual report of the chapter activities shall be submitted to the American Chemical Society office in Washington. This report is to be prepared by the President of the chapter in consultation with the Faculty advisor and executive committee.

Article XI. Standing Committees

Executive Committee

The executive committee shall be composed of the chapter president, vice president, secretary, treasurer and chairpersons of all committees.

Program Committee

The program committee shall be composed of the Vice president as chairperson and two members nominated by the president and vice president. This committee is responsible for selecting speakers and publicizing meetings and events (i.e. making signs, posters, etc.)

High School Chemistry Competition Committee

The high school chemistry competition committee shall be composed of a chairperson and three members appointed by the president and vice president of the chapter. The chairperson will coordinate with the chairperson of the High School Chemistry Competition Committee of the Memphis Section of the American Chemical Society. The chairperson will serve on the High School Chemistry Competition Committee of the Memphis Section of the American Chemical Society. This committee is responsible for organizing all events for the competition and notifying schools of the event.

National Chemistry Week Committee

The National Chemistry Week Committee shall be composed of a chairperson and three members appointed by the president and vice president. The chairperson will coordinate with the chairperson of the National Chemistry Week Committee of the Memphis Section of the American Chemical Society. This committee is responsible for planning all activities associated with NCW such as the demos in Buckman Quad and the trips to different schools in this area.

Article XII. Policy for Amending the Bylaws

These bylaws may be amended by a two-thirds vote of the members present at the meeting in which the vote takes place provided that the amendments were proposed at least one meeting previous to the time of voting and the chapter was informed of the date that the vote was to take place. Such amendments shall conform to the ACS regulations established for the Student Affiliates Chapters.
