Medical Colleges With Alternative Methods of Filing Applications - 2001

Updated September 12, 2001

A number of medical schools have developed an alternate method of filing an application as a result of problems associated with this year's inauguration of a web-based AMCAS application. The following schools have released guidelines for filing an application:

University of Michigan (September 12, 2001)
The University of Michigan Medical School has just decided to solicit paper applications from applicants who are planning to (or have already) applied to us via AMCAS this year. We know that many applicants are anxious to have us start their reviews and to be certain that we have their materials. We invite the applicants to send us a paper copy of their AMCAS application and a copy of their official MCAT scores at this time. (NOTE: This is not a requirement of applying to the UMMS, but it is an option available to all applicants. We expect to continue to get verified application data from AMCAS regularly. In many cases, we already have paper applications furnished by AMCAS, even though we may not have electronic data yet. This is simply part of a plan to move things along, for the applicants as well as for our office.) We are notifying our preliminary applicants of this new option via email. We will also have an announcement on the school's web page.

University of Cincinnati (OH) (September 5, 2001)

A representative from the University of Cincinnati College of Medicine asked me to forward this information on the listserv.

The University of Cincinnati College of Medicine is requesting that ALL applicants for the 2002 entering class register AT THE COLLEGE'S WEBSITE:

http://www.med.uc.edu/ or

http://onlineapp.med.uc.edu

The introduction of a new admissions system by AMCAS has resulted in a number of challenges for both applicants and medical schools. While the system offers many advantages when it is fully developed and implemented, it has, unfortunately, caused significant delays and uncertainty concerning the receipt of applications by the medical schools. In order to assure our applicants and our Committee on Admissions that we have the information necessary to evaluate every applicant for the class of 2002, we have developed a special on-line application. We are requesting that every applicant who has applied through AMCAS 2002 to the University of Cincinnati College of Medicine register at our website. If an application has been received from AMCAS, the applicant will be asked to submit additional brief information. If an application has not been received, the applicant will be asked to complete a special on-line application.

The University of Cincinnati will remain a part of the AMCAS system and should be listed in the AMCAS directory as one of the schools to which applicants can apply. We thank you and your students for your patience thus far and want you to know that the College of Medicine Committee on Admissions is making every effort to facilitate their application to our medical school this year. For this reason, we have limited the information we are requesting on our website. Applicants will need their AMCAS Identification number to begin the University of Cincinnati application and we also recommend that they have a printed copy of their AMCAS application to assist them in completing our application.

We strongly urge all Early Decision applicants to register ASAP.

There will not be a fee for our application nor a separate Secondary Application for this year.

We would greatly appreciate your cooperation in notifying your students of this information. Thank you.

University of California Medical Schools (all five of them) (August 15, 2001)

Applying to UC medical schools for Fall 2002

The five University of California Schools of Medicine are deeply concerned about the difficulties and delays applicants have suffered because of technical problems in processing and transmitting AMCAS applications to medical schools. While all hope that AMCAS rapidly solves its problems, Admissions Deans on all five UC medical school campuses have agreed to the unprecedented institution of an initial application form specific to UC medical schools. It is derived from the AMCAS application form we used up until 2001. It will allow you to apply directly to all, or any, UC medical campus. THIS IS NOT A SUBSTITUTE FOR THE AMCAS APPLICATION, WHICH YOU MUST CONTINUE TO FILE. This specific application will simply allow us to begin processing your application immediately. Final admission decisions will await our receipt of verified materials from AMCAS. This initial UC application will get us all started and provide applicants with information on their status with UC schools as rapidly as possible.

While filling out and mailing the UC medical school initial application document will take a little extra time, we have tried to make it as easy for you as we can. We believe the benefit to you of getting the process underway by direct contact with the UC school or schools of your choice will be worth the trouble.

UC Los Angeles: http://www.medstudent.ucla.edu/admiss
UC San Diego: http://medschool.ucsd.edu/admissions
UC San Francisco: http://www.som.ucsf.edu/som/education/admission

Please note: You may simply include a printed copy of the personal statement and the academic record from your AMCAS 2002 application. However, you must complete pages 1 and 5 of this initial UC application.

The 2002 University of California Medical School Application is available in two formats
1. Enter on-line, print and save 2002 Application Form (RTF)
2. Download and print 2002 Application Form (PDF)
Instructions are available separately: Download 2002 Application Instructions (PDF)

Further and specific information on the UC Schools of Medicine initial application can be found on the website of any one of the five medical schools (e.g. http://medome.ucdavis.edu). Both formats of the application allow you to simply mail copies of the application to your choice of medical schools.

University of Pittsburgh (PA) (August 9, 2001)

Dear Prospective Students/AMCAS Applicants:

Many of you are undoubtedly having great difficulty submitting your online AMCAS application. From what we understand, students are often spending 80 hours or more filling out the online forms. Let me say that, if there was any way we could help solve this problem, we would, as it does not jibe with our philosophy of being Person to Person. Understandably though, we can’t.

We can, however, speed up your application review process. We are now asking all prospective students/AMCAS applicants to submit:

  1. a paper copy of your AMCAS 2002 application, and
  2. your MCAT score

directly to us at the following address:

University of Pittsburgh School of Medicine
Office of Admissions and Financial Aid
3550 Terrace Street
518 Scaife Hall
Pittsburgh, PA 15261
412-648-9891

This will allow us to begin a more personal review of your application, to basically get a headstart, while we await the delayed electronic transmission of your AMCAS record.

Note, however, that you will—also—still have to submit your application through AMCAS. This is unfortunate but unavoidable.

To further help you, we have assigned two special counselors to handle any question you may have about the AMCAS problems and your hard-copy application submission. Please feel free to contact them directly:

Connie Dobrich
412-648-9891
Connie@medschool.pitt.edu

Lisa Wick
412-648-9891
Lisa@medschool.pitt.edu

One final thing...In the next couple of months we will be implementing a new, more student-centered website, so please be sure to stop by and visit again.

Sincerely,
Linda Demo-Berardi

University of Missouri, Columbia (August 9, 2001)

TO: Interested Parties
RE: Applying to University of Missouri-Columbia School of Medicine
DATE: August 3, 2001

Because AMCAS is experiencing ongoing difficulties in the implementation of their electronic application service, and the transmission of data from Washington, D.C., to the nation's medical schools remains unreliable, the University of Missouri-Columbia (MU) now joins a growing list of medical schools in announcing that we will accept and process paper copies of the 2002 AMCAS medical school application.

Applicants must submit their medical school application electronically to AMCAS by the published November 1 deadline and file completion deadline at MU remains January 15.

Until the AMCAS electronic data transfer is fully implemented, the information in your printed AMCAS application will be reviewed in the same manner it would be reviewed if sent to the admissions office electronically by AMCAS. Final admissions decisions will not be made until we have received official AMCAS applications.

Once we receive the paper copy of the AMCAS application, we will acknowledge its receipt and proceed to notify each candidate of his/her eligibility to continue through the remaining steps of the admissions process. The first of these is for eligible applicants to complete a file. This is accomplished by providing the following items:

1) Supplemental application (mailed directly to the applicant for completion) and $50 supplemental application fee;

2) A premed committee letter OR a minimum of three letters of reference from professors, one of these should be someone who teaches science;

3) Resolution of residency, course requirement, and graduate program issues;

4) A copy of the applicant's MCAT dates and scores, if they are not preprinted on the paper copy of the application.

In order to expedite the processing of the application, we suggest candidates have transcripts of completed course work forwarded to us. NOT sending transcripts will not affect the ultimate decision regarding one's candidacy but will greatly assist our office personnel in verifying course grades and GPAs.

You may cover up the names of other medical schools within the Designated Medical Schools section of the application, but please leave MU visible.

We anticipate AMCAS becoming fully operational in the near future and we continue to work within the AMCAS framework for receiving and processing applications. This temporary parallel system in no way is intended to replace applicants' or MU's involvement with AMCAS.

For more information, please contact the MU School of Medicine Admissions Office by phone: 573-882-9219, or email: nolkej@health.missouri.edu or myersde@missouri.

Baylor College of Medicine
Office of Admissions
One Baylor Plaza MS BCM 110

Joseph C. Pisano
Associate Dean for Admissions
Tulane University School of Medicine

Dear Applicant:

We have been notified that you intend to submit an application for admission to Tulane University School of Medicine’s class of 2006. We are pleased that you are interested in our program and would like to ensure that your application process proceeds as orderly and conveniently as possible.

I am sure you are aware that problems have arisen within the AMCAS application process and these problems have made this a very difficult year for both medical school candidates and medical schools. Therefore, we are taking the following steps to facilitate the application process for candidates. The first step is for you to complete the on-line AMCAS application. If you have not already done so, you should make every attempt to submit this application to AMCAS immediately. It is not necessary that you receive confirmation of receipt of your application by AMCAS before proceeding with the following steps; you may proceed immediately.

Print the application you submitted to AMCAS for your personal records. You should make a copy of the application and forward that copy to this office.

Tulane University School of Medicine
Office of Admissions SL67
1430 Tulane Avenue
New Orleans, LA 70112

Until such time as AMCAS forwards us the official application, we will use this copy to begin the processing of your application.

Please note, with the copy of your application, you must also include a letter stating the scores you attained on your most recent MCAT exam. If you have taken the MCAT more than once, please include the results of the last two times you took the exam. In addition to the test scores, indicate whether the MCAT was taken in April or August and the year(s) in which the scores were recorded. Be sure to include all four MCAT scores, i.e., verbal reasoning, physical sciences, biological sciences, and writing sample, for each MCAT reported.

You should also send to this office a copy of your Tulane Addendum, or Secondary application. The Addendum, with instructions for its completion, may be accessed on line:

http://www.som.tulane.edu/admissions/application.pdf

After you complete the Addendum, print it and make a copy. Send the copy, with a check or money order to cover the $95 application fee, to this office. The instructions for completing the addendum also indicate Tulane’s requirements in regard to letters of support. You should have these letters sent directly to this office by the writers.

We will begin processing your application as soon as the copy of the application, the Tulane Addendum, your MCAT score letter, the check to cover the application fee, and the letters of support have been received. We anticipate that AMCAS will confirm your MCAT scores and course grades, as they have done in the past. At this time, therefore, we are not requesting an official transcript or MCAT score report. In the event, however, AMCAS is unable to perform these functions, we may, at a future date, request you to secure these items for your file.

No applicant will be invited to visit our campus for the purpose of an interview until an application file has been completed. A completed file includes all of the below listed items:

AMCAS APPLICATION
TULANE SECONDARY AND APPLICATION FEE
MCAT SCORES
LETTERS OF SUPPORT

We anticipate beginning the interview process during the second week of September. Therefore, it will be to your advantage to complete the above steps as quickly as possible. If you are applying to Tulane through the Early Decision Process, it is mandatory that the above items be in your file no later than August 15, which represents a two-week extension from our normal deadline date of August 1.

If there is any information in the above that is not clear, please feel free to telephone (504-588-5187) this office for further clarification or for additional information.

Regarding Yale University (July 20, 2001):

The following is an email that Richard Silverman, Director of
Admissions, Yale School of Medicine, has asked that I post on the
national listserv. Yale School of Medicine decided as of yesterday
evening to use a "transition" method of applying to their medical
school, while AMCAS continues to work on the transmission of
information to the medical schools. This is in no way meant to
bypass the AMCAS application, but only to assist those students who
wish to get the process underway at Yale. This is a rather lengthy
email, and if you have any students who plan to apply to Yale School
of Medicine, I would suggest that you print this for them.

All questions regarding this procedure should be addressed to
richard.silverman@yale.edu

Here is the complete message and text:

I am putting our "Special Instructions" into this e-mail as text, for
distribution to pre-medical advisors. As we discussed, we see these
"transition procedures" as a temporary way of helping our applicants
until such time as the AMCAS process is working smoothly. Your
colleagues will find these instructions linked to our on-line
supplemental application at
http://info.med.yale.edu/medadmit

Thanks for your assistance.

Special Instructions for Yale School of Medicine Applicants
Who are Experiencing Difficulties with the AMCAS 2002 Application

- Problems with AMCAS 2002:
The American Medical College Application Service (AMCAS) has
substantially upgraded its application for the 2002 enrollment cycle.
As with many new and complicated web-based programs, unexpected problems have emerged during the AMCAS 2002 implementation period. Some applicants have experienced technical malfunctions or long delays in
entering data or submitting their applications. In addition, the
process of transmitting applications by AMCAS to individual medical
schools has been very slow in getting established. Thus, the evaluation
of applications cannot begin as normally scheduled.

In response to these difficulties, the Yale School of Medicine has
developed special transition admissions procedures to assist our
applicants. The procedures include four separate steps:

1.) First Transition Step: Send a Printed Copy of Your AMCAS Application
If you have been unable to submit your AMCAS application because of
technical problems, or if the submission of your application has not
been confirmed by AMCAS, you may expedite the Yale admissions process by printing your AMCAS application and mailing it to our admissions office
(after making a copy for your records). Send the application to: Yale
University School of Medicine / Admissions Office / 367 Cedar Street /
New Haven, CT 06510. The information in your printed AMCAS application will be reviewed in the same manner in which it would be reviewed if sent to the admissions office electronically by AMCAS.

- Note on MCAT Scores:
Along with your printed AMCAS application, you must include a letter
informing us of your MCAT dates and scores (all tests within the past 3
years). Official MCAT information will be confirmed after we receive
your AMCAS application electronically. In the interim, we will use the
scores you provide to begin the application review process.

- Tips on Printing Your AMCAS Application:
To print your AMCAS application, it is probably best to access the
application using Internet Explorer, version 5.5. Applicants using
other browsers have reported difficulties. Once you access your
application, select (click on) "Print Application" from the menu along
the left side of the screen. This will cause a window to pop up,
showing your application. (Note: This "pop up" may happen very slowly,
with a time indicator to show progress.) After the application has been
uploaded completely, you can print it by using either the print icon or
the "File Print" command, making sure to indicate that you want "all"
forms to print.

- Note on the Appearance of Your Printed AMCAS Application:
There will be no paragraph structure in your AMCAS essay, and some other
parts of the application may appear to be organized incorrectly. Do not
be concerned; the appearance of this document will have no impact on our
reading or evaluation of your application.

2.) Second Transition Step: Submit Your Yale Supplemental Application
In our regular admissions process, your AMCAS application would be
transmitted to us electronically by AMCAS. We do not "screen" AMCAS
applications and invite all AMCAS applicants to submit a Yale
Supplemental Application. In this transition period, all applicants are
welcome to submit the Supplemental Application directly on line at any
time (
http://info.med.yale.edu/medadmit), either before or after
submitting an AMCAS application. Note that you will only be able to
submit your Yale Supplemental Application on line if you use your AMCAS
(10-digit) Identification Number.

- Completing Your Supplemental Application:
To complete your on-line Yale Supplemental Application, you must print,
sign, and mail the Supplemental Application Certification Page, together
with the $65 application fee. You must also arrange to have letters of
recommendation sent directly to the admissions office.

3.) Third Transition Step: Send Your College Transcript(s)
In the normal admissions process, we receive confirmed transcript
information electronically from AMCAS. Under these transition
procedures, you must send copies of your college transcript(s) directly
to the admissions office. This material will be confirmed after we
receive your academic information electronically from AMCAS and (in the
case of entering students) your official transcripts from college
registrars. In the interim, we will use the photocopied transcripts you
provide to begin the application review process.

4.) Fourth Transition Step: You Must Submit Your AMCAS Application On
Line
Through our transition procedures, we will be able to begin the
processing and evaluation of 2002 applications. If AMCAS technical
difficulties persist into the late summer, we may invite applicants for
interviews based on these evaluations. You must, however, also submit
your AMCAS application on line through AMCAS as soon as it is
technically possible to do so. Final admissions decisions will not be
made until we have received official AMCAS applications.

- Important Deadlines:
All applicants to the M.D. program and the M.D./Ph.D. program at the
Yale School of Medicine must submit an AMCAS application by October 15
and a Yale Supplemental Application (along with all supporting material)
by November 15. These deadlines have not changed.

- Contact Information:
Information about the AMCAS on-line application may be obtained at
http://www.aamc.org. Information about the Yale School of Medicine
admissions process and a link to our on-line Supplemental Application
may be found at
http://info.med.yale.edu/medadmit.

Regarding the Washington University School of Medicine (July 20, 2001):

Due to delays and uncertainty in the deployment of AMCAS 2002, the following options have been created for initiating an application now to Washington University in St. Louis, School of Medicine:

1. Any applicant (including those who have initiated an AMCAS 2002 application) can submit an on-line Direct Application to Washington University School of Medicine. The Direct Application can be found at http://applydirectmed.wustl.edu

2. Those applicants who have been successful in submitting an AMCAS 2002 application, may submit a paper copy of their AMCAS 2002 application.

Direct the copy of the AMCAS 2002 application to:
Washington University School of Medicine
Office of Admissions
660 S. Euclid, Campus Box 8107
St. Louis, MO 63110-1093

The Supplemental Application and Certification Form necessary for completing an application to Washington University School of Medicine also are available on-line at the web address that is listed above along with detailed instructions.

Submission of a Direct Application to Washington University School of Medicine or a copy of an AMCAS 2002 application plus a Supplemental Application, application certification and related supplemental application fee will allow us to begin processing an application.
